With the introduction of new building regulations in Tasmania (Building Act 2000 Tasmania) WMcA considered it necessary to provide clients with the required legislative documentation for compliance.
WMcA use a computerised maintenance management system known as Greentree CRM for all maintenance service contracts, which is designed to control maintenance operations. Greentree CRM allows for long term growth of any sized maintenance operation, as you can continually add to the database of equipment, inventory and work orders.
Greentree CRM allows you to itemise every piece of equipment on a site, advise the maintenance requirements for that equipment and trigger a date for the work to be performed.
At the start of each month Greentree CRM generates the work orders relevant to that month for each site, whether it be a monthly or an annual service. The operator checks the maintenance schedule to ensure all work orders are generated. These work orders are then given to the servicemen, who carry out the required maintenance. The serviceman then signs and dates the work orders after completion of the listed requirements. The order is then returned to the Greentree CRM operator, who then closes off the work order.
Reports can be produced showing which work orders have been completed or are still outstanding. Reports can also advise the client of any extra work that has been carried out during a routine maintenance service.
A history of all maintenance activities and subsequent repair work is kept on Greentree CRM, with all costs including sub-contractor costs recorded on our computerised accounting system. Hard copies of all completed maintenance sheets are stored in separate folders according to the site. These methods combine to give a comprehensive and readily accessible work history for each site to enable the client to confirm maintenance activities have been carried out to comply with current Essential Services Act.

This offers the client a one point of contact for total maintenance management, reduced downtime on plant and equipment, and provides accurate life-cycle reporting for future budgeting.
